Workflow & Architecture
How wholesale ordering works
Our streamlined B2B ordering system connects Shopify B2B storefront ordering directly into Google Sheets production planning, Google Calendar scheduling, and QuickBooks Online financial sync.
5 Step Wholesale Ordering Process
Apply Online
Complete the online application at woodenspoonsalaska.com/wholesale/apply with your business details, estimated weekly volume, and delivery preferences.
Account Approval & Catalog Assignment
Once verified, your account is set up as a Shopify Company with access to wholesale catalog pricing, case quantities, and payment terms.
Self-Service Ordering
Sign in at woodenspoonsalaska.com/wholesale/login to place orders, select pickup or delivery, and reorder from previous purchases.
Production & Calendar Scheduling
Orders placed by the weekly cutoff are aggregated into our Google Sheets production planner and added to the pickup or delivery schedule.
QuickBooks Online Accounting Sync
Invoices, payments, and account balances automatically sync from Shopify into QuickBooks Online for simple financial record keeping.
Weekly Order Cutoffs & Fulfillment Schedule
Because our bagels and spreads are scratch-made in small batches, orders follow a strict weekly cutoff schedule:
Wednesday 12:00 p.m.
All wholesale orders must be submitted via Shopify B2B by noon on Wednesday.
Thursday Bake Cycle
Dough mixing, hand-shaping, boiling, baking, and house spread preparation.
Friday Morning Pickup/Delivery
Pickup at 1300 W. 36th Ave in Spenard or commercial delivery to approved accounts.
Shopify B2B Order Management
Shopify serves as the single product authority for all retail and wholesale items. Approved buyers log in to access assigned wholesale price tiers, minimum order increments, Net 7 or Net 15 payment terms, saved payment methods, and instant reordering.
- Variant-level order increments (12 bagels, 4 spreads, 6 sandos)
- Net payment terms & saved company cards
- Tax-exempt customer documentation records
QuickBooks Online Accounting Sync
Financial data flows automatically from Shopify into QuickBooks Online. QuickBooks records B2B orders as formal QuickBooks invoices, tracks accounts receivable, categorizes processing fees, reconciles payouts, and compiles profit and loss reports.
- Automated invoice creation and payment reconciliation
- Accounts receivable & customer balance tracking
- Streamlined tax prep & financial reporting
